CLEAR Super Coach Privacy Policy

1. Who we are

CLEAR Super Coach is operated by Get CLEAR Leadership, LLC ("CLEAR", "we", "us"). We are the controller responsible for personal information handled through the app and this website.

There is one important exception. Where your employer has purchased CLEAR Super Coach for you, your employer is the controller of the coaching records created inside their organisation account, and we act as their service provider. That distinction changes how you exercise your rights, and section 14 explains what it means in practice.

2. What this policy covers

This policy applies to the CLEAR Super Coach apps for iOS and Android, this website, and the accounts, administrative dashboards and support channels connected to them.

It does not cover the physical CLEAR Performance Coaching card deck, which collects nothing, or third-party websites we link to, which have their own policies.

3. Information you give us

• Account details. Your name, work email address, password, job role and the organisation you belong to. Passwords are stored only as a cryptographic hash and are never readable by us.
• Coaching content. The challenges you describe, the cards you save, entries in your coaching journal, the commitments you log and their follow-up dates.
• Role play content. The text you type or the words you speak during a practice conversation, and the scorecard and debrief generated from it.
• Preferences. Your coaching settings and notification choices.
• Support correspondence. Anything you send us when you contact support, including any screenshots you attach.

4. Information about your team members

CLEAR Super Coach asks you to enter details about the people you manage: their name, their role, and your own description of a performance or behavioural situation involving them.

The people you write about are not our users, and they have not agreed to anything with us. When you enter information about a team member, you confirm that you are entitled to do so and that you will handle it according to your employer's HR and privacy rules.

A practical rule: write about your team members as though they will read it, because in many places they have the right to.

We hold this information on your behalf and use it only to provide the coaching features you are using. We do not contact the people you write about, we do not build profiles of them for any other purpose, and they do not receive marketing from us.

If someone you have written about contacts us directly, we will refer them to you or to your employer, because we cannot identify or act on their records without your involvement.

5. Information collected automatically

• Device and app data. Device type, operating system version, app version, language setting, and crash and diagnostic logs.
• Usage data. Which features you open, how long a session lasts, and how far you progress through a coaching flow. This tells us what is working and what is broken.
• Push notification token. Only if you turn notifications on.

We do not use advertising identifiers. We do not run advertising. We do not track you across other apps or websites, and we do not allow anyone else to do so through our app.

6. Voice, text and AI processing

Two features send your content to AI services so that the app can respond to you.

• Diagnose. The challenge you describe is sent to Microsoft Azure OpenAI, which returns a recommended coaching approach from the CLEAR library.
• Role play. Your typed or spoken input is sent to Microsoft Azure OpenAI to generate the other side of the conversation. If you speak, your audio is first converted to text by our speech-to-text provider.

We use Microsoft's enterprise Azure OpenAI service rather than the public OpenAI API. Microsoft does not use your prompts or your content to train its models. Neither do we. Your coaching content is never used to train any model we build or operate.

Audio you record during a role play is used for one purpose only: converting your speech into text so the conversation can continue. We do not use recordings for any other purpose.

AI output is practice material, not advice. The responses, scorecards and debriefs are generated text. They can be wrong, and they are not professional, legal, medical or human resources advice. Decisions about a real person on your team remain yours.

7. How we use information

• To provide the features you asked for: recommendations, role play, your journal, commitments and reminders.
• To create and secure your account and verify your email address.
• To send service messages, including the follow-up reminders you set yourself.
• To diagnose crashes, monitor performance and improve the product.
• To give an organisation that purchased CLEAR Super Coach aggregated, de-identified reporting about adoption across its licensed users.
• To meet legal obligations and enforce our terms of service.

We will not use your information for a materially different purpose without telling you first.

8. Our legal bases

Where UK or EU data protection law applies to you, we rely on the following bases.

9. Accounts bought by your employer

Organisation accounts include an administrator role. An administrator can see:

• The list of licensed users in their organisation
• Licence status and whether an account is active
• Aggregated usage and adoption reporting across the organisation

An administrator cannot read the content of an individual manager's coaching journal, the challenges they have described, or their role play transcripts.

Your employer sets its own rules about how the app is used at work, and those rules apply alongside this policy. If your employer ends its agreement with us, the handling of the accounts and content in that organisation follows the terms of that agreement.

10. Service providers we share with

We share personal information with the providers below, under contract, only for the purposes described in this policy, and only to the extent they need it.

We may also disclose information where the law requires it, where it is necessary to protect our rights or someone's safety, or to a buyer as part of a merger or acquisition, in which case this policy continues to apply until you are told otherwise. We do not sell personal information, and we do not share it for cross-context behavioural advertising.

11. Where your information is held

CLEAR Super Coach is operated from the regions listed below.

If you use the app from outside the United States, your information will be transferred to and processed there. Where required by law, those transfers are made under Standard Contractual Clauses or another approved transfer mechanism. Canadian data residency is available to organisation customers on request. If your organisation requires data to remain in Canada, contact us before deployment.

12. How long we keep it

Where your employer holds the account, deletion also follows the terms of their agreement with us.

13. How we protect it

• In transit: TLS 1.2 or higher.
• At rest: AES-256 encryption.
• Passwords: hashed with bcrypt and never stored in readable form.
• Access: authenticated sessions with role-based permissions across three roles, user, manager and administrator.

No system is perfectly secure. Use a strong, unique password, and tell us immediately if you believe someone else has accessed your account.

14. Your rights and choices

Depending on where you live, you have some or all of the following rights: to access the personal information we hold about you, to correct it, to delete it, to object to or restrict how we use it, to receive a copy in a portable format, and to withdraw consent you previously gave. Residents of California, Canada, the United Kingdom and the European Economic Area have specific statutory rights along these lines.

Acting on them

• Delete everything. You can delete your account and its associated content from inside the app at any time.
• Any other request. Email us at the address in section 16. We respond within the time your local law allows, and we will not treat you differently for asking.
• If your employer provided your account, send your request to them first. They control those records. We will help them respond.
• Notifications and microphone. Both can be turned off at any time in your device settings. Turning off the microphone disables voice role play; text role play continues to work.

If you are in the EEA or the UK, you may complain to your local supervisory authority. In Canada, you may complain to the Office of the Privacy Commissioner of Canada. We would rather you came to us first, so we have a chance to put it right.

15. Children

CLEAR Super Coach is a workplace tool intended for adults in management roles. It is not directed at anyone under 18, and we do not knowingly collect information from children. If you believe a child has provided us with information, contact us and we will delete it.

16. Changes and contact

We update this page when our practices change, and we revise the date at the top when we do. If a change materially affects how we handle your information, we will tell you in the app or by email before it takes effect.
